1. Who we are
BETA Global Care connects patients in Africa with independent hospitals, clinics and specialists in Türkiye and coordinates consultations, travel preparation and follow up. For information collected directly through this website or by our coordinators, BETA determines why and how the information is used and acts as the data controller. A selected medical provider may separately act as a data controller for clinical records and treatment.
BETA is not a medical facility. We do not diagnose conditions, provide medical advice or make clinical decisions.
2. Information we may collect
- Identity and contact details, including your name, age, country, telephone number, email address and preferred language.
- Consultation information, treatment interests, medical history, reports, prescriptions, photographs, scans and other health related information you choose to provide.
- Travel and coordination information, including passport details where required for confirmed travel, appointment dates, accommodation needs and emergency contact details.
- Communication records from forms, email, telephone, WhatsApp and the patient portal.
- Basic technical information such as device type, browser, IP address, access time and security logs where collected by our hosting and security services.
Health and biometric information may be sensitive personal data. We request it only where relevant to assessment and coordination.
3. Why we process information
We use information to respond to enquiries, arrange assessments, identify appropriate providers, obtain provider opinions and quotations, coordinate appointments and travel, maintain continuity during follow up, protect accounts, keep lawful business records and meet regulatory or legal obligations.
Depending on the activity, processing may be based on your consent, steps requested before entering an arrangement, performance of an agreed service, compliance with law, protection of vital interests or a legitimate interest that does not override your rights. Where consent is relied upon, you may withdraw it, although this does not invalidate earlier lawful processing.
4. Medical information and provider matching
We review whether the information supplied is complete before sending a case to a potential provider. Provider identities may remain private until internal review is complete. Only information reasonably required for assessment should be shared. A provider’s clinical opinion, proposed treatment and quotation remain the provider’s responsibility.
We do not use automated decision making to approve or reject treatment. Any digital tools used to organise information support human review and do not replace a qualified medical professional.
5. Sharing and international transfers
Information may be shared with authorised BETA coordinators and administrators, a potential or selected hospital, clinic or specialist in Türkiye, and service providers supporting secure hosting, communication, travel or document delivery. We do not sell personal information.
Because the requested service involves care in Türkiye, relevant information may be transferred outside Kenya. Before a transfer, we seek an appropriate legal basis and use reasonable contractual, access and security safeguards. By asking us to send a case to a provider, you will be informed of the intended transfer and asked for any consent required by law.
6. Security and confidentiality
We apply proportionate administrative and technical controls, including restricted staff access, authentication controls, secure transmission where available, confidentiality obligations, backups and activity monitoring. No online system is completely risk free. If a personal data breach creates a legal notification duty, we will take the steps required under applicable law.
Please avoid sending unnecessary medical or identity documents through open social media messages. A coordinator will explain the preferred secure channel.
7. Retention
Information is retained only for as long as reasonably required for the purpose for which it was collected, follow up, dispute handling, security, accounting and applicable legal or provider obligations. Retention periods depend on the nature of the record and whether treatment proceeded. When information is no longer required, it is securely deleted, anonymised or access restricted.
8. Your rights
Subject to lawful limitations, you may ask to be informed about processing, access your personal data, correct inaccurate information, object to processing, restrict processing, request deletion of information that is no longer lawfully required, receive portable data where applicable, and withdraw consent. You may also complain to Kenya’s Office of the Data Protection Commissioner.
We may verify your identity before acting on a request. To make a privacy request, contact BETA through the website or WhatsApp at +254 747 163 322. You may also visit the Office of the Data Protection Commissioner.
9. Children and representatives
A parent, legal guardian or properly authorised representative must act for a child or a person who cannot lawfully provide their own consent. We may request proof of authority before accepting sensitive information or instructions.
10. Cookies and browser storage
The current website may use essential browser storage required for security, page functions or remembering a user interface choice. We will not add nonessential analytics, advertising or profiling cookies without appropriate notice and, where required, consent.
11. Changes and governing framework
We may update this notice when our services, technology or legal obligations change. The effective date will be revised and significant changes will be highlighted where appropriate. This notice is intended to reflect the Constitution of Kenya, the Data Protection Act, 2019 and applicable regulations. It should be read together with our Terms and Conditions.
